Booking

The start and end time of the booking is stated in the quote. The space is available to you at the time stated in the booking confirmation. All event set-up and take-down must take place within the rental period. The rented space must be empty by the end of the booking at the latest. The Lessor is entitled to charge for any overrun of the rental period according to the extra-hour price list.

A Booker under 25 years of age must, at their own cost, order a security guard from the Lessor to maintain order at the event for the entire booking or at least from 9 pm within the rental period. Under a separate agreement, the Booker may also order a police-approved security guard from an external provider. The security guard must hold a valid security guard card. The Booker must also order security for the event at their own cost from the Lessor when most attendees are under 25 years of age.

The charge for security is €45 + 25.5% VAT / hour, doubled on public holidays. Events with more than 50 people require two security guards.

The Lessor is entitled to charge the Booker a security deposit at the time of booking, which the Lessor will refund to the customer after the event, provided the terms have been complied with and the premises are in the same condition as at the start of the rental.

Any additional hours must be agreed separately with the Lessor and are charged according to the price list. Used sauna robes, extra towels and bench towels, as well as other ordered additional services, are paid on-site via MobilePay or billed separately to the Booker immediately after the event. Organising paid public events on the premises is prohibited without the Lessor's prior written permission.

The Booker must report additional hours either before the booking starts or during the booking. Before the booking starts, the Booker can contact customer service about additional hours either by email at tilat@osaamistehdas.fi or by phone at 0400 567 429.

Any meeting catering ordered through Osaamistehdas is ordered at the time of booking, or at the latest 7 business days before the reserved time, with a separate quote.

Cancellation terms

If the Booker wants to reschedule their booking, the Lessor will charge the Booker €120 + 25.5% VAT in rescheduling and handling fees, plus any difference between rental prices. The Lessor does not credit price changes. If the event has to be interrupted due to the Booker or an external authority, the Lessor is not obliged to compensate for any unused rental time or indirect costs. For all refunds over €100, a minimum of €15 + 25.5% VAT is always withheld for transaction and bookkeeping costs.

  • Cancellation more than 30 days before the rental time: a booking fee of 25% of the total rental price is charged.
  • Cancellation less than 30 days before the rental time: the full booking price is charged.
  • Bookings made less than 30 days before the rental time: the full booking price is charged.
  • Cancellations must always be notified in writing to tilat@osaamistehdas.fi.

Prices and payment terms

Current prices are defined on Osaamistehdas's website or directly in the quote received from the Lessor. Value added tax in force is added to the stated prices, unless otherwise stated in the quote.

The rental price is paid by invoice. The invoicing fee is €10 + 25.5% VAT. The payment term is 7 days. The invoice's late payment interest is according to the Interest Act.

The customer must provide the following invoicing details at the time of ordering, unless already provided: company name, business ID, invoicing address and any e-invoicing address, as well as any invoice reference.

Access to the premises, locking doors and returning keys

Keys can be collected at a separately agreed time from the Sauna Pasila / Osaamistehdas office in Pasila, at Ratamestarinkatu 11. A key handover agreement is signed when the keys are handed over. The key recipient must be at least 18 years old and must prove their identity if requested.

The rented premises and the doors leading to them must be locked at the end of the booking. Keys are left in the space on the kitchen table at the end of the booking. If the keys have not been returned as instructed by the end of the booking, the Booker is obliged to compensate the Lessor for costs incurred. If the Booker passes the keys on to someone else, they are responsible for any misuse. The Booker is obliged to read the instructions and act accordingly.

For lost keys, the Lessor charges at least €120 + 25.5% VAT plus direct and indirect costs related to acquiring keys, or, if necessary, the cost of re-keying the locks. We charge at least €120 + 25.5% VAT for opening a door.

Extra cleaning and damage

During the rental period, the Booker is fully liable for damage caused to the Lessor, the property and/or a third party or their property (including indirect damage), as well as the costs of repairing it.

The Booker may not move furniture within the premises. The premises must be in a tidy condition by the end of the rental period (loose litter in bins, plastic and glass bottles and cans in separate collection bins, dishes collected on the kitchen counter, furniture in the same places as at the start of the rental, and the rented space generally tidy).

Litter, bottles and cans can be left in the collection bins provided inside the space. Dishes can be loaded into the dishwasher and the machine started, with the rest left on the counter up to one dishwasher load (max. dishes for 15 people). If a lot of dishes accumulate, we recommend washing up during your event. We charge an extra cleaning fee of €45 + 25.5% VAT / commenced hour for excess unwashed dishes.

The room rent includes floor cleaning, cleaning of sanitary facilities and the sauna, as well as surface cleaning and taking out litter and bottles, as part of normal daily cleaning of a generally tidy rented space.

If a need for extra cleaning arises after the rental, the Lessor will bill the Booker based on actual costs at €45 + 25.5% VAT / commenced hour, doubled on Sundays and public holidays. The bodily fluid surcharge is €75 + 25.5% VAT / incident. Damage to the property and furnishings is billed according to actual costs.

For broken furnishings, the Lessor is entitled to charge the Booker the replacement cost and/or any repair costs of the broken item, plus acquisition costs and any removal and recycling costs for the broken item. Removal of decorations, tape or items left behind by the customer is always billed as extra cleaning.

Separately invoiced items

  • If the permitted number of people in the space is exceeded, the customer is charged €320 + 25.5% VAT.
  • Lost or damaged towels €20 + 25.5% VAT / towel.
  • Cleaning up bodily fluids is billed at €75 + 25.5% VAT / incident.
  • For broken furnishings, we charge the replacement cost of the broken item and/or any repair costs. The Lessor also charges acquisition costs of at least €75 + 25.5% VAT, and removal and recycling costs for the broken item of at least €75 + 25.5% VAT, or according to a subcontractor's invoice.
  • Using emergency exits, or keeping the ground-floor door or other locked doors of the property that use an access card open for more than a minute, triggers an alarm. Unwarranted alarms are charged according to the alarm company's rate, at least €150 + 25.5% VAT.
  • Using a smoke machine on the premises is strictly prohibited. Using a smoke machine triggers a fire alarm, and the resulting costs are the Booker's responsibility.
  • Costs arising from a security guard callout and an unwarranted fire alarm are always entirely the Booker's responsibility and are billed to the Booker according to actual costs.
  • We charge €45 + 25.5% VAT / commenced hour for time spent on breaches of contract and extra investigations.
  • If the space cannot be rented out due to damage to the premises, the Booker is obliged to fully compensate the rent for the space for the entire period it cannot be rented out.

House rules

  • The maximum number of people stated in the space description or booking confirmation may be present in the booked premises at any one time. Please note that there is recording camera surveillance in the entrance lobby of the premises. The Lessor or its authorised representative has the right, if necessary, to interrupt the event if it is deemed to cause disturbance to the rented space, its surroundings or neighbours, or if the permitted number of people is exceeded.
  • The Booker must comply with the building's or housing company's house rules presented in the rented space.
  • Smoking is only allowed in the designated smoking area. Access to and presence in the smoking area must be arranged so that it does not cause disturbance to other users of the property or the area.
  • Quiet hours begin at 9 pm in indoor and outdoor spaces outside the rented premises. When leaving the space at the end of the rental period, you must leave the rented space—and especially the vicinity of surrounding residences—to the nearest public thoroughfare without causing disturbance.
  • Own DJ equipment and larger PA systems may not be brought onto the premises unless separately agreed with the Lessor.
  • You may bring your own food and drinks.
  • You must always be dressed in areas other than the rented premises. Walking around in just a towel outside the rented premises is therefore prohibited.
  • Unnecessary movement in the common areas of the property should be avoided. Lobby and corridor areas are only for passing through to the premises.
  • When leaving, the Booker must ensure the premises are in order and the sauna heater is switched off.

Lost property

The Lessor is not responsible for items left in the space. Lost property can be enquired about after the event by email at tilat@osaamistehdas.fi. Lost property is not delivered to the Booker; the Booker collects it in a separately agreed manner. Lost property is kept for 2 weeks.

Complaints

Notifications of errors or defects must be made as soon as the error or defect is noticed, so that the Lessor has the opportunity to correct it within the rental period.

Disputes

  • Finnish law applies to this agreement and to the resolution of disputes arising from it, and disputes are handled in Finnish.
  • Disputes arising from the agreement will primarily be resolved through negotiations between the parties. If the parties cannot reach an amicable solution, disputes will be resolved in the Helsinki District Court.

Lessor's right to cancel

The Lessor reserves the right to unilaterally cancel a booking due to force majeure or a double booking, without any liability for compensation other than the amount of rent paid for the space at most. The Lessor reserves the right to change order and delivery terms as well as prices.
